Guide for the Ways and Means committee — Merchandise Management
Committee Overview
The Ways and Means committee manages the PNA-ERSA merchandise catalog — creating products, processing orders, and promoting items to members.
This portal is tabbed and hosts the Products and Orders tabs. Additional tabs may be added as new functions are introduced.
The portal is gated by the Ways and Means access key. Full access allows product creation, editing, promotion, and order management; viewing access is read-only.
Members of the public can browse and order merchandise from the public Merchandise page. Orders are then acknowledged, endorsed to Finance for payment verification, and fulfilled through delivery-mode-specific status steps.
1. Dashboard Overview
The Products tab shows all merchandise products sorted by featured status, then order count, then latest upload.
Each product card displays the first media item, title, price, order count, and badges for Featured and Promoted status.
Use the Refresh button to reload the latest data, and the Search box to filter by title or description.
2. Creating a Product
Click "New Product" to open the product form dialog.
Fill in the title, description, price, and delivery fee. Price and delivery fee are text fields (e.g., "SAR 50").
Upload multiple product images and/or videos — the first uploaded media appears as the product's main image on the public page.
Enter the accepted modes of payment as a comma-separated list (e.g., "Bank Transfer, Cash, Online").
Toggle "This product has sizes" to reveal a size entry field (comma-separated, e.g., "XS, S, M, L, XL").
Toggle "This product has variations" to reveal a variation entry field (comma-separated, e.g., "Red, Blue, Black").
Toggle "This product is customizable" to reveal a Customization Question field (e.g., "What name would you like printed?"). Buyers must answer this question — in free text — before they can submit an order. The answer is stored on the order and appears in every order-progress email, in-app notification, and the management orders list.
Click Create Product to publish. It immediately appears on the public Merchandise page.
3. Editing Products
Click Edit on any product card to update its details, media, sizes, variations, customization question, or payment modes.
You can toggle the Customizable checkbox on or off at any time. Turning it off hides the customization question from buyers on new orders — existing orders keep their saved answers.
4. Hiding & Restoring Products
Click Hide on any visible product to open a dialog with two options:
Hide Completely — the product is removed from the public Merchandise page entirely. Members cannot see or order it. It receives a grey "Hidden" badge in the management list.
Mark as Out of Stock — the product stays visible in the public catalog but cannot be ordered. Members see a greyed-out card with an "Out of Stock" badge and "Unavailable" label. It receives an amber "Out of Stock" badge in the management list.
Click Restore on any hidden or out-of-stock product to return it to normal visibility. It immediately reappears in the public catalog and becomes orderable again.
Use hiding for seasonal items, products under revision, or temporarily unavailable products. Use out-of-stock when you want members to see the product exists but know it's currently unavailable.
5. Deleting Products (Admin Only)
Only Administrators (Administrator1, Administrator2) can delete products. The trash icon is only visible to admin accounts.
Non-admin Ways and Means staff can create, edit, feature, promote, hide, and restore products — but cannot delete them.
To delete, click the trash icon and confirm in the dialog. This permanently removes the product and cannot be undone.
Prefer hiding a product over deleting it — hiding preserves the product configuration and historical order references while removing it from public view.
6. Featuring a Product
Click Feature on a product to make it the highlighted product on the public Merchandise page.
Only one product can be featured at a time — featuring a new product automatically unfeatures the previous one.
If no product is featured, the public page automatically shows the top-ordered product as the hero card instead.
7. Promoting a Product
Click Promote on any product to notify all approved PNA-ERSA members.
This sends a promotional email and in-app notification to every approved member, with the product's images/videos, title, price, and a link to the Merchandise page.
The product receives a "Promoted" badge so you can track which products have been broadcasted.
A toast notification confirms how many members were notified.
8. Access Levels
If you have full access, you can create, edit, feature, promote, hide, restore products, and manage orders.
Only Administrators can delete products.
If you have viewing access, the tab is read-only — action buttons are hidden and a "viewing access" banner is shown.
