Guide for the Socials / Medical Mission committee

Committee Overview

The Socials / Medical Mission committee organizes social gatherings, community outreach programs, medical missions, and manages the PNA-ERSA Volunteer Pool.

This portal is tabbed and currently hosts the Volunteer Pool & Events tab. Additional tabs may be added to this portal in the future as new functions are introduced.

The portal is gated by the Socials / Medical Mission access key. Full access allows event creation, promotion, and lineup management; viewing access is read-only.

The Volunteer Pool is sourced from approved PNA-ERSA members who join via the public "Become a Volunteer" page (login-gated, same as the Membership Portal).

1. Dashboard Overview

The Volunteer Pool & Events tab is where you manage all volunteer events and monitor the active volunteer pool.

The top of the page shows a header with a Refresh button to reload the latest data, and a "New Volunteer Event" button to create events (full access only).

A "Volunteer Pool Members" summary panel lists every active volunteer with their join date and status.

Event cards display the poster, title, date/time, location, capacity, and status badges (Open, Closed, Promoted). Interest and confirmed counts appear as colored pills — amber for interested, emerald for confirmed.

2. Creating a Volunteer Event

Click the "New Volunteer Event" button to open the event form dialog.

Fill in the event title, description, start and end date/time, location, and volunteer capacity.

Upload an event poster image — this displays on the public volunteer page for pool members.

Set capacity to 0 for unlimited volunteers, or enter a number to indicate how many volunteers are needed.

New events default to "Open" status, meaning volunteers can express interest immediately.

Click Create Event to publish. It immediately appears on the volunteer page for pool members.

3. Editing & Managing Events

Click Edit on any event card to update event details, poster, or change the status (Open / Closed / Completed / Cancelled).

Use the Refresh button to reload the latest event and pool data at any time.

Mark finished events as Completed rather than deleting them, so participation history is preserved.

4. Promoting a Volunteer Event

Click Promote on any open event to notify the volunteer pool.

This sends a promotional email and in-app notification to every active pool member, and creates a public announcement visible to all members.

The event status updates to show a "Promoted" badge so you can track which events have been broadcasted.

A toast notification confirms how many volunteers were notified.

5. Reviewing Interest & Confirming Lineup

Click Review Interest & Confirm to open the lineup dialog for any event.

The dialog lists every volunteer who has expressed interest, with their name and email.

Already-confirmed volunteers are pre-selected (checked). Toggle the checkboxes to build your final lineup.

Click Confirm & Notify to finalize. Every selected volunteer receives a confirmation email and in-app notification automatically.

The confirmed count on the event card updates immediately.

6. Deleting an Event

Click Delete on an event card to permanently remove it.

A confirmation dialog appears — this action cannot be undone.

Use this only for cancelled or test events. Completed events should be marked Completed status instead of deleted.

7. Volunteer Pool Members

Approved PNA-ERSA members join the volunteer pool from the public "Become a Volunteer" page.

Only members with valid, approved membership can join the pool. Invalid or pending members are prompted to become a member first.

Once joined, pool members can browse upcoming volunteer events and express interest in any open event.

The "Volunteer Pool Members" summary panel at the bottom of the tab shows every active volunteer with their join date and current status.

8. Access Levels

If you have full access, you can create, edit, promote, delete events, and confirm lineups.

If you have viewing access, the tab is read-only — action buttons are hidden and a "viewing access" banner is shown at the top of the portal.
