Guide for the Publications committee

Committee Overview

The Publications committee manages PNA-ERSA's public newsfeed, quarterly newsletters and the photo gallery.

This portal has three tabs: Newsletters (upload and manage quarterly PDFs), Gallery Management (manage photo albums, sections, and overlay settings) and Newsfeed (post announcements and moderate comments).

The portal is gated by the Publications access key. Full access allows creating, editing, and deleting; viewing access is read-only.

1. Uploading a Newsletter

Open the Newsletters tab and click "Upload Newsletter".

Select the quarter (Q1–Q4), enter the year and a title, then upload the newsletter PDF.

Once the PDF is uploaded, the app prepares the pages automatically — wait for the cover preview to appear before publishing.

Click Publish. The newsletter appears immediately and all approved members are notified via email and in-app inbox.

2. Viewing & Editing

Each newsletter card has a "View PDF" button to open it in a new tab.

Click Edit to update the title, quarter, year, or replace the PDF. Members are not re-notified on edit.

3. Deleting a Newsletter

Click Delete and confirm. This permanently removes the newsletter from the portal and public view.

This action cannot be undone.

4. Member Notifications

When a new newsletter is published, all approved members receive an email and an in-app inbox message.

Members can view and download newsletters from the "My Membership" page under the Newsletters tab.

5. Covers & Public Newsletter Tab

Every newsletter you publish also appears on the public Publications page under the Newsletter tab, so visitors and non-members can read it too.

The first page of the PDF becomes the cover automatically — the app turns page 1 into the cover picture and every page into a picture the reader shows. Newsletters published before covers existed keep their plain card.

Readers tap a cover to open the popup reader (a full-height sheet on phones) where they scroll and zoom through every page. Nothing ever opens in a separate browser tab, so no app link is ever shown.

Download saves the PDF straight to the reader's device, and Share copies a link whose preview shows the newsletter's cover and title, opening that issue on pnaersa.org.

Publishing a newsletter therefore makes it publicly visible — post only what the association is happy to share outside its membership.
