Guide for the Public Relations committee
Committee Overview
The Public Relations committee manages PNA-ERSA events, the organizational calendar, and public relations announcements.
This portal has two tabs: Events (event creation, management, check-in, certificates) and PR Announcements (member-wide broadcasts).
The portal is gated by the Public Relations access key. Full access allows event creation and announcements; viewing access is read-only.
Certificate release and event deletion are restricted to administrator accounts only.
1. Events Tab Overview
The Events tab is your hub for managing PNA-ERSA events and the organizational calendar.
Stat cards show the total number of events and total registrations across all events.
Click the refresh icon at any time to reload the latest data.
2. Creating an Event
Click the "Create Event" button to open the event form dialog.
Fill in the event title, description, start and end date/time, location, and payment information.
Upload an event poster image to display on the public event page and registration form.
Set the payment amount and toggle Registration Open to control whether members can register.
Click Save to publish the event. It immediately appears on the public calendar and becomes available for member registration.
3. Editing & Managing Events
Each event card shows the poster, title, date/time, location, and registration badges (registered, confirmed, attended counts).
Click "Manage" to open the full Event Detail page for that event.
Click the pencil icon on an event card to quickly edit event details without leaving the portal.
4. Sending Attendance Confirmations
The "Send Attendance Confirmations" button appears on each event card for administrator accounts.
Clicking it sends confirmation emails to all confirmed (paid) registrants of that event.
This is typically used before an event to confirm attendance details with registered members.
A toast notification shows how many confirmation emails were sent.
5. Event Detail Page — Check-in
From any event card, click "Manage" to open the Event Detail page.
The page shows stat boxes for Total, Pre-registered, Walk-in, Pending Payment, Confirmed, and Attended counts.
Click "QR Check-in" to open the camera-based QR scanner. Scan a member's QR code to check them in instantly.
For manual check-in, click "Mark Attended" next to any confirmed registrant. Only confirmed (paid) registrants can be checked in.
Use the search bar to find registrants by name or email.
6. Event Detail Page — Walk-ins
Click "Add Walk-in" to register a member who arrives on-site without pre-registration.
Walk-in registrations must be linked to an existing member record via type-ahead search — free-text entry is not allowed.
Walk-in guests must be linked to a hosting member's account.
For cash payments, you must acknowledge that cash was collected before completing the walk-in registration.
7. Event Detail Page — Certificates
Once the event status is set to "Completed", administrators can click "Release Certificates".
This generates a certificate image for every attended member and guest, uploads it, and saves it to their records.
A progress indicator shows how many certificates have been released out of the total.
Certificates require at least one signatory to be configured for the event before they can be generated.
Releasing certificates also automatically sends the post-event evaluation to attendees (one-time, server-guarded).
8. Event Detail Page — Reports & Evaluations
Click "Download Report" to generate a PDF report of the event, including all registrations, guests, and attendance data.
Click "Send Post-Event Evaluation" (or "Resend Evaluation") to manually distribute the evaluation form to attendees.
Administrators can click "Delete Event" to permanently remove an event and all its associated data.
