Officer's Portal Manual
General guide for PNA-ERSA officers and committee chairs
1. Portal Overview
The Officer's Portal is the central hub for all PNA-ERSA officers and committee chairs.
After logging in with your staff credentials, you'll see a dashboard with your name and a row of committee subtabs.
Each subtab represents a committee or functional area of the organization. You only see the subtabs that you have been granted access to.
Click any subtab to view its description and available actions — including a button to open the full portal (if active) and a button to view that committee's dedicated manual.
2. The 12 Committee Subtabs
The portal has 12 committee subtabs, each with its own icon and description:
Finance & Audit: Opens the Finance Portal for payment validation.
Public Relations: Manages events, calendar, and public relations announcements.
Membership: Opens the Director Portal for application review, plus event participation and announcement tools.
Sports: Coordinates sports activities and events.
Publications: Manages quarterly newsletters.
Ways and Means: Develops fundraising and resource generation strategies.
Socials / Medical Mission: Organizes social activities and medical mission outreach.
Labor and Welfare: Advocates for labor rights and member welfare.
Quality Improvement and Innovation: Opens the Post-Event Evaluation Portal for anonymous feedback analysis.
Regional Coordination (Al Hassa): Coordinates regional operations in Al Hassa.
Education and Training: Plans seminars, workshops, and training sessions.
SPLE: Supports the Special Professional Licensure Examination.
3. Access Levels
Each committee subtab has one of three access levels assigned to your account:
Full Access: You can view and take all actions within that committee's portal.
Viewing Access: You can view data but cannot make changes. A "Viewing Access — Read Only" badge appears, and action buttons are hidden.
No Access: The subtab is hidden from your portal entirely.
Your access is configured by the administrator. If you need access to a committee you don't see, contact the administrator.
4. Committee Manuals
Each committee has its own dedicated manual explaining the specific workflows, features, and actions available in that committee's portal.
When viewing a committee subtab, click the "Manual" button to open that committee's guide.
Committees with active portals (Finance, Public Relations, Membership, Publications, Quality Improvement & Innovation) have detailed workflow documentation.
Committees without active portals yet have placeholder manuals describing the committee's purpose — full documentation will be added once the portal is activated.
You can also access a committee's manual from within the portal itself by clicking the Manual button in the portal's header.
5. Opening Committee Portals
Some committees have dedicated portals with full functionality:
Finance & Audit: Click the subtab, then click "Membership Payment Verification" to open the Finance Portal.
Public Relations: Click the subtab, then click "Events" or "PR Announcements" to open the PR Portal.
Membership: Click the subtab, then choose "Membership Application Approval" (Director Portal), "Membership Event Participation", or "Membership Announcements".
Publications: Click the subtab, then click "Open Publications Portal" to manage newsletters.
Quality Improvement and Innovation: Click the subtab, then click "Open Quality Improvement and Innovation Portal" to access the Evaluation Portal.
Other committees currently show a description page. Full portals for these committees may be added in the future.
When you open a portal, you'll see a "Back to Officer's Portal" button at the top to return to this dashboard.
6. Changing Your Password
If your account was created with a temporary password, you'll be prompted to change it on first login.
Inside any portal, click the key icon in the top-right header to change your password at any time.
Choose a strong password and keep it confidential.
7. Logging Out
Click the red Logout button in the top-right corner of the portal to sign out.
You'll be returned to the home page.
For security, always log out when you're done, especially if you're using a shared computer.
8. Security & Best Practices
Never share your staff credentials with anyone. Each officer should have their own account.
If you suspect your account has been compromised, change your password immediately and contact the administrator.
Always verify member information carefully before taking approval or rejection actions — these decisions affect members' access to PNA-ERSA services.
