Guide for managing medical missions and community health outreach

What is PNA-ERSA Cares?

PNA-ERSA Cares is the medical mission management system for organizing community health outreach events — from volunteer coordination and patient intake to vitals, health education, and patient experience surveys.

It is accessible to all officer accounts through the Officer's Portal. Click the PNA-ERSA Cares System tab to open the dashboard.

The system has six station-based workflows that follow a patient from registration through completion: Overview, Volunteers, Patient & Consent, Vitals & Triage, Health Education, and Survey.

1. The Cares Dashboard

The dashboard is your home base. It shows all active medical mission events as cards.

Each event card displays the event name, date, location, lead coordinator, and live counts of volunteers and patients registered.

Click any event card to open the Event Detail page with all six station tabs.

Use the "New Event" button at the top right to create a new medical mission event.

The Archive button takes you to completed/archived events, and the Health Resources button opens the public health content manager.

2. Creating a New Event

From the dashboard, click "New Event" to expand the event creation form.

Fill in the Event Name (required), Event Date (required), Location (required), Lead Coordinator, and an optional Description.

Click "Create Event" to save. The new event appears immediately on the dashboard as an active event.

New events start with a status of "Active" and are visible to all officers.

3. Event Detail — Station Workflow

Clicking an event card opens the Event Detail page with six tabs across the top: Overview, Volunteers, Patient & Consent, Vitals & Triage, Health Education, and Survey.

The event header shows the event name, date, location, lead coordinator, and description. Use the "Archive Event" button when the mission is complete.

Use "Back to Dashboard" or "Officers Portal" links at the top to navigate away.

Work through the tabs in order — each station builds on the previous one as the patient moves through the care pipeline.

4. Overview Tab

The Overview tab is a real-time dashboard showing the progress of patient care across all stations.

Six stat cards at the top show total counts: Volunteers, Patients, Consents, Vitals, Education, and Surveys.

Below the stats, a Patient Care Progress card shows how many patients have completed each stage (consents recorded, vitals taken, health education, surveys collected, and patients fully completed).

Use this tab to monitor the flow of the mission and identify bottlenecks — for example, if many patients have consents but few have vitals, the vitals station may need more support.

5. Volunteers Tab

The Volunteers tab is where you build your medical mission team roster for the event.

Use the form to add volunteers with their Full Name, Role (Coordinator, Nurse, Doctor, Pharmacist, Educator, or Support), Contact Number, Email, and Assigned Station (Intake, Consent, Triage, Education, Survey, or General).

Click "Add Volunteer" to save. The volunteer appears in the roster below.

The roster shows each volunteer with a colored role badge, their assigned station, and contact details.

Use the trash icon on any volunteer card to remove them from the event.

Volunteers start with a "Checked In" status. This helps you track who is present and assigned during the mission.

6. Patient & Consent Tab

This tab has two panels side by side: Patient Registration (left) and Patients & Consent (right).

Registering a Patient: Fill in the patient's Full Name (required), Age, Gender, Contact Number, Blood Type, Address, and Chief Complaint. Click "Register Patient" to add them to the event.

New patients start with a status of "Accepted".

Recording Consent: Click a patient card in the right panel to select them. A consent form expands below the patient list.

Choose a Consent Type (General Medical Consent, Treatment Consent, Photography Consent, or Data Privacy Consent), enter the Consented By name (required), then give the Proof of Consent — a drawn signature by default, or a selfie if the person is on a non-touchscreen device and not comfortable signing with a mouse or trackpad — and tick "Consent Given".

Click "Record Consent" to save. Recorded consents appear under the patient's name in the list.

Use the trash icon on a selected patient card to remove them from the event if needed.

7. Vitals & Triage Tab

This tab records patient vital signs and assigns a triage category. It has two panels: Record Vitals (left) and Latest Vitals (right).

Select a patient from the dropdown at the top of the form.

Enter the patient's vitals: Temperature (°C), Blood Pressure (systolic/diastolic), Heart Rate (bpm), Respiratory Rate, O₂ Saturation (%), Weight (kg), Height (cm), and Random Blood Sugar (mg/dL).

BMI is auto-calculated when you enter both weight and height — it fills in automatically when you move to the next field.

Assign a Triage Category: Urgent (red), Priority (amber), Routine (blue), or Non-Urgent (slate). This helps prioritize patient care flow.

Add optional clinical notes, then click "Save Vitals". The patient's status automatically updates to "In Progress".

The right panel shows the patient's most recently recorded vitals in a clean snapshot with the triage category highlighted.

8. Health Education Tab

This tab generates and records health education sessions for patients. It has two panels: Education Session (left) and Education History (right).

Select a patient from the dropdown. If the patient has vitals on record, an "Generate AI Education Content" button appears.

Click it to have the AI generate culturally relevant health education topics, suggested materials, and a key health message — all based on the patient's actual vitals and triage category.

The generated content fills into the form fields automatically. You can edit them before saving.

Fill in Topics Covered (required), Materials Provided, Session Duration (minutes), Provided By (defaults to your staff name), and optional Notes.

Click "Save Education Session" to record it. The right panel shows the patient's education history with topics, materials, and notes for each session.

If the patient has no vitals yet, you'll see a prompt to take vitals first — the AI needs vitals to generate relevant education.

9. Survey Tab

This tab collects patient experience feedback. It has two panels: Patient Experience Survey (left) and Survey Result (right).

Select a patient from the dropdown. If they've already completed a survey, a notice appears — you can still submit a new response if needed.

Rate the patient's experience using 5-star ratings across four categories: Overall Experience (required), Wait Time, Staff Friendliness, and Service Quality.

Tick "Would recommend PNA-ERSA Cares to others" if the patient would recommend the service.

Add optional Additional Feedback (comments or suggestions), then click "Submit Survey".

Submitting a survey automatically updates the patient's status to "Completed" — this marks the end of their care journey.

The right panel shows the submitted survey with all ratings, recommendation status, and feedback.

10. Archiving & Restoring Events

When a medical mission is complete, click "Archive Event" on the Event Detail page to move it out of the active dashboard.

Archived events are not deleted — they're stored in the Archive page, accessible from the dashboard's Archive button.

The Archive page lists all archived events with their date and location. Click "View Details" to open the event's station workflow (read-only reference).

Click "Restore" to move an archived event back to the active dashboard if you need to continue working on it.

11. Health Resource Management

The Health Resources button on the dashboard opens the Health Resource Management page — this is where you create and manage public health education content.

Resources you create here appear on the public Mobile Health page at /health, which anyone can browse without logging in.

Use the form to create a resource with a Title, Category (Health Topics, Awareness, Meal Plans, Healthy Lifestyle, Mental Health, CPR & First Aid, Emergency Contacts, News & Innovation, Health Trends), Summary, and full Content (supports Markdown formatting).

For Emergency Contacts category resources, you can add a Contact Name and Phone Number — these display prominently with a call button on the public page.

You can add an optional External Link, Sort Order (lower numbers appear first), and set the resource to Active or Archived.

The right panel lists all resources with category badges, filter chips, and edit/delete actions. Use the filter chips to view resources by category.

Click the pencil icon to edit a resource (the form fills with its data), or the trash icon to delete it.

12. The Public Mobile Health Page

The public Mobile Health page at /health is accessible to everyone — no login required.

It displays all active health resources you've created, grouped by category with a clean teal-themed design.

Visitors can filter by category using the chips at the top, tap any resource to expand its full content, and tap phone numbers for emergency contacts to call directly.

If a patient visits with a ?patient=ID query parameter (e.g. from a survey QR code), they see a personalized Patient Health Summary at the top — including their vitals, AI-generated health guidance, and recommended resources based on their triage category.

This page is the public face of PNA-ERSA Cares — keep your health resources updated and accurate.

13. Tips for a Smooth Mission

Register all volunteers first before opening patient intake — this ensures the Overview tab reflects your full team.

Take vitals before education — the AI education generator needs vitals to produce relevant, personalized content.

Use the Overview tab to monitor flow — if one station is lagging, reallocate volunteers to balance the pipeline.

Record consents early — patients cannot meaningfully proceed without consent on file.

Complete the survey last — it marks the patient as "Completed" and closes their care journey.

Archive when done — archiving keeps the active dashboard clean for ongoing and upcoming missions.
